All registered LIVE - FIRE exhibitors will have an opportunity to display the weapons or products (NO AMMO) on Monday June 4th at the OTOA Hospitality Event at the Kalahari Villas

The OTOA will provide an exclusive set up for LIVE-FIRE exhibitors to showcase their products while the conference attendees are feasting and networking at the OTOA Barbeque Hospitality Event..

The Monday June 4th Hospitality Live-Fire Exhibitor area will be off limts to any conference attendee(s) until all confirmed exhibitors are present, checked in, set  - up and firearms safety checked by OTOA staff.

Booth Information: One (1) standard 8 foot display table in a 10'x10' booth space with two chairs, waste basket.  Lunch provided for two (2) exhibitor representatives. Additional exhibitor lunches available for sale. (ALL exhibitor staff MUST be listed on your registration for conference identification badges)

Cost: $450.00 per 10'x10' booth space.

Additional Information

Arrival to Kalahari: The vendor registration check - in booth will be open from 10am-10pm on Monday and 7am-12pm on Tuesday.  The vendor registration check - in booth is located across from the attendee check - in booths.  Important information, booth location, and vendor representative badges will be issued. 

Display set-up times:  Monday from 10am to 10pm and again on Tuesday morning from 7am to 9am.  The vendor show will begin at 9am on Tuesday June 5th, 2018.

For the past several years, the OTOA has used a “bingo card” system for attendees to be eligible for any door prizes.  You will be issued an OTOA stamp at the vendor registration booth.  Please stamp the cards as the attendees visit your booth during the show.

OTOA staff will be assigned a row of 10 booths prior to the vendor show opening for weapons checks, any assistance with booth issues, and for accepting door prize give-a-ways. 

All firearms will be safety checked by OTOA staff and the weapons tagged according to OTOA Policy.

Please, if you are exhibiting any firearms, NO ammunition whatsoever is permitted on the table.

Lunch will be provided and delivered to your booth between 1145am-1215pm by OTOA staff.  You will only be provided the number of lunches indicated when registering on - line.

Break down may begin at 3:30pm for Live-Fire vendors or your booth may be left and torn down after the live-fire event.  All other vendor may start to break down his or her booths after 4:00pm.

Sales to attendees are highly encouraged.  The only sales that are prohibited are firearms.

The live-fire vendor show will begin at 430pm and end at 730pm.

We have a Tuesday hospitality event at the villas for those vendors staying the night.

IMPORTANT - Please send Terry Graham any changes in your representatives by 4pm on May31st so we can have a conference badge ready when you check in

Exhibitor Cancellation Policy:

Cancellations received by May 25, 2018 will be entitled to a 50% refund. There will be no refunds for cancelations received after the deadline.

NO REFUNDS AFTER MAY 25, 2018

  • All vendor exhibition space and associated expenses are required to be paid prior to the scheduled event
  • All hand delivered, open invoices delivered on the day of the event MUST be paid PRIOR to exhibition space set up.
  • Booth space is not guaranteed until full payment is received. 
  • Payment options on the day of the event are company check or credit card via PayPal. (service charge fees apply to PayPal payments)
  • Open invoices will be hand delivered to the exhibitor on the day of the event.

Exhibit Location: Setup/Removal

  • Traditional Exhibitor Set up will begin at 7:00 a.m. Tuesday June 5th. "Early-Bird" Exhibitor set up available on Monday June 4th after 6:00pm. Removal from exhibition space must be completed on June 5th PRIOR TO 5:30 P.M. (Hospitality starts at 6:00 P.M.)
  • Use of Exhibit Space: Exhibitors and /or sponsors may not reassign, remove, change or alter any other exhibitors assigned display area. Exhibitors are responsible for the security of their products, goods and/or display materials. Firearms must be kept unloaded at all times. Live ammunition and firearms displayed at the same exhibitor table is strictly forbidden.
  • Banners and Products for Sale: The OTOA encourages all exhibitors to bring items to sell at the show. You are also encouraged to bring banners to the conference site for display. No banner will be displayed at the conference without prior to OTOA approval.
  • Rejection of Application: The OTOA reserves the right to refuse or reject any Exhibitor Show application. The OTOA holds the right to remove, cancel or refuse the admission to any persons or company whose conduct or display is incompatible with the general character, safety and objectives of the OTOA Annual Training Conference.
