Badge scanning & lead generation

Every conference attendee wears a mandatory name badge on a lanyard.

Each badge has a QR code containing the information you need to follow up on leads.

Scanning the QR code is FREE; you only need a FREE OTOA user account and your cell phone's camera. 

User accounts are unique to your email address.  Duplicate accounts for the same individual using multiple emails are auto-purged from our system.

Inclusions with Every Exhibition Space

At the OTOA Tactical Operations and Public Safety Conference, we want to ensure your exhibition experience is as comfortable and convenient as possible. With every exhibition space, you'll enjoy the following amenities:

• 8' Table with a Table Skirt: A spacious 8-foot table with an elegant table skirt provides an attractive and functional display area.
• Pipe & Drape: Professionally set up pipe and drape, offering privacy and a polished backdrop for your exhibit.
• Two Chairs: Two comfortable chairs for you and your team to use while interacting with visitors and conducting business.
• Wastebasket: A wastebasket for easy trash disposal, helping you maintain a clean and organized exhibit space.
• Carpet: A carpeted floor in your space creates a welcoming and comfortable environment for exhibitors and visitors.
• Wi-Fi: Complimentary Wi-Fi access ensures you stay connected and can easily manage your digital needs during the event.
• Lunch Delivery: Enjoy at least two box lunches, delivered directly to your exhibit space, complete with bottled water, providing you and a team member with a convenient and refreshing meal option during the event.
• Exhibitor Badges: Additionally, exhibitors will receive a minimum of two exhibitor badges, providing access and recognition for your team members throughout the event.

If you shipped your exhibitor supplies to Kalahari, the convention center staff will bring the materials you shipped to your booth space.

• CREDIT CARD AUTHORIZATION/PAYMENT: Enter the payment info (credit card). Once you arrive at Kalahari and arrange the delivery of your displays or materials, Kalahari will accept full payment for the shipment. You can also expect contact from Kalahari Concierge requesting payment pre-event. 

After filling out this form, ALL of your packages must be delivered to the following:

Exhibitor Credentials / Badges

Exhibitor Badge Requirement

• Mandatory Badge Display: For the safety and smooth operation of the OTOA Tactical Operations and Public Safety Conference, all exhibitors must wear and prominently display the official conference badge issued in the name of each registered exhibitor.
• Personal Identification: Your conference badge is your identification and access pass to the event. It ensures that you are recognized as an authorized exhibitor.
• Networking and Recognition: The badge identifies you as a participant and aids networking and recognition. It makes it easy for attendees and fellow exhibitors to connect with you.
• Throughout the Exhibition: This requirement applies to your conference exhibition. Please wear and display your badge prominently at all times while you are exhibiting.
• Lost or Damaged Badges: In the event of a lost or damaged badge, please contact our exhibitor registration desk for a replacement.
• Editing Attendee Badges: If you do not know who from your organization will attend, you can edit your allotted badges anytime by logging into your OTOA company profile after registration.
• Additional Badges: If you require additional badges for your team, they can be purchased for $60 per badge during registration. After registering, you can also request and purchase additional badges by emailing us at office@otoa.org. Please note that:
• Exhibitor name badges are created from this section.
• Every badge comes with a box lunch.

Badge / Booth Sharing: Booth sharing between organizations is NOT permitted and may result in your organization being barred from future OTOA events. All registered badges must be for official representatives of the exhibiting organization.

How It Works:

• Interested companies will ship their showcased product to the OTOA HQ or hand deliver it to the OTOA on Sunday, June 8, 2025. 
• Displaying firearms? Contact - Pat Fiorilli, OTOA Executive Director, at (216) 701-6171 for instructions & restrictions.
• The OTOA will prominently display the product at an OTOA personnel-manned booth starting at 4:00 p.m. on Sunday, June 8, 2025.
• All showcased products will be hand-delivered to the company representative on Tuesday, June 10, 2025, before the start of the vendor show.

Some restrictions apply:

• The OTOA has the right to deny a product entry into this program depending on the size restrictions of the space for this program.

Letter to New Product Showcase Participants

Good morning,

Thank you for participating in the OTOA Vendor New Product Showcase. As we approach the OTOA conference, we encourage you to consider the new products you wish to showcase. The New Product Showcase will be featured during the following times:

• Sunday evening and Monday morning during Registration/Attendee Check-in.
• Monday during the General Session.
• Tuesday morning before the Vendor Show.

Items for the New Product Showcase should be dropped off at your assigned booth on Tuesday morning before the start of the Vendor Show.

Please let us know the following:

1. Will you be shipping the showcase products or bringing them in person?
2. Are you providing product information, handouts, or business cards?
3. If you plan to display firearms, please get in touch with Pat Fiorilli, OTOA Executive Director, immediately at (216) 701-6171.

For vendors showcasing volatile or propellant products, ensure you provide inert samples.

To ensure an effective display, including optimal location and size, our New Product Showcase staff needs to know which products will be showcased and if they will be present from Sunday through Tuesday morning.

Lanyard Sponsor: $2,000

Your company name and logo are printed on over 1,500 attendee badge lanyards. Lanyards are given to every attendee and must be worn at all times for them to enter the exhibit hall, networking events, and classrooms. Only one organization can claim this sponsorship. Exhibition Booth Direct Sales to Customers

At the OTOA Tactical Operations and Public Safety Conference, we're excited to offer you the opportunity to showcase and sell your products directly to our attendees.

We encourage and permit sales at your booth, providing you with a platform to engage with potential customers and boost your business.

However, please note that following ATF rules, the sale of firearms is not permitted.

Nevertheless, you are welcome to promote and sell a wide range of other products and services, so don't miss the chance to increase your sales and connect with your target audience during the vendor show and at your booth.

OTOA Conference Exhibitor Payment & Cancellation Policy

Cancellations - Full Refund

Cancellations received BEFORE April 30, 2025, will receive a FULL REFUND. All cancellations must be in writing (email) and sent to Terry Graham: terry.graham@otoa.org

No credits for paid booth spaces/sponsorships are carried over into the following year.

Cancellations - NO Refund

NO REFUNDS AFTER MAY 1, 2025

Cancellations received AFTER May 1, 2025,  are NOT eligible for a refund.

Payment

All vendor exhibition space and associated expenses must be paid before June 1, 2025.

Who receives and pays the invoices/bills for your company?

• To ensure a smooth billing process and deliver invoices accurately, we kindly request the following information:

• Full Name: Please provide the full name of the individual responsible for receiving and/or paying the invoices from your company.

• Email Address: We must have a valid email address for the designated contact person to send invoices to. This will ensure prompt delivery and easy access to your billing information.

Open invoices are hand delivered on the event day and MUST be paid before the exhibition space is set up.
